Getting started

How do I sign up for Salstead?
Visit /register, choose Care Home or Worker, enter your details and verify your email. Care home admins are guided through the onboarding wizard which sets up your first site, manager and roster.
What does the 14-day free trial include?
Full access to every feature on the plan you choose — no card required to start. We'll email you 4 days before the trial ends so you can decide whether to subscribe.

Shifts

How do I post a shift?
From the Care Home dashboard, click Post shift. Pick the role, date, time and pay rate. Eligible workers are notified instantly. You can also use Roster to plan multiple shifts at once.
Can I rebook the same workers?
Yes. Add workers to your Internal Bank from any worker profile. Bank workers get priority notifications when you post matching shifts.
What happens if a worker no-shows?
Mark the shift No-show from the shift detail page. We re-broadcast it to other eligible workers automatically and apply your no-show policy to the worker's reliability score.

Compliance

Are workers vetted before they can take shifts?
Every worker uploads enhanced DBS, Right to Work, references and mandatory training certificates. Salstead blocks shift bookings if any required document has expired or is missing.
How do I generate a CQC evidence pack?
From Admin → Compliance Heat Map, click Generate evidence pack. Pick the site and date range and we produce a Regulation 18 + 19 PDF you can hand to inspectors.

Payroll & billing

How do workers get paid?
PAYE. Once the timesheet is approved, payroll runs weekly and we BACS the net pay within 7 days. Payslips appear in the worker's app and HMRC RTI is filed each pay period.
How am I billed as a care home?
Monthly subscription fee plus per-hour platform margin on shifts booked through Salstead. You can pay by Direct Debit (GoCardless) or card (Stripe). Invoices appear in /finance and email.
What if I dispute a timesheet?
Open the timesheet, click Dispute, and enter the reason. The worker is notified and you have 48 hours to resolve before it auto-escalates to Salstead support.

Account & data

How do I export my data?
Settings → My data → Download my data. We produce a JSON file containing every record we hold about you. Your UK GDPR Article 15 right.
How do I delete my account?
Settings → My data → Delete my account. After confirmation you have a 30-day grace period to change your mind. If you've been paid in the last 7 years, HMRC requires us to retain a pseudonymised payroll record.
Can I change my email or password?
Settings → Security. Password change requires your current password. Email change sends a verification link to the new address.

Technical

Does Salstead work offline?
Yes for clock-in/clock-out on the worker app. Actions queue and sync when connectivity returns. Other features require an internet connection.
Where is my data stored?
United Kingdom (Supabase eu-west-2 AWS region). See our DPA Schedule 3 for the full sub-processor list and regions.
Is there an API?
Yes — REST + webhooks. See /developers for the API key flow and reference. Available on the Standard plan and above.
